To ensure that everything runs smoothly and you are working with a reputable lighting installer, it's crucial to check off a few necessary to dos before you sign that lighting contract. No client wants to waste time or money on lighting that doesn't suit the day-to-day needs of their venue. Signing on with an installer before figuring out key information can lead to interruptions during the project or work that isn't up to your venue's standards. In this guide, we provide the steps to achieve the best lighting installation process and final product


The Essential Question for Clients 💬

We all know the saying "time is money", and this is especially true when talking about lighting installation services. Longer hours mean more labor costs and so forth. It's important that projects are done in the most efficient way possible to provide the best quality within a reasonable timeline. Much of the focus from clients is on what the lighting installers are providing, but it is crucial to ask what clients are bringing to the table as well. Knowing if the venue has a school, district, or outside electrician they can bring in is something to note before signing. This way, the company you work with can figure out ahead of time if an outside electrician needs to be brought in. These expectations should be laid out in the quote.

Ensuring an Installer's Reliability 👍

Every client wants to know that they are getting the best installer for their venue. This means a lighting installer who is experienced and is reliable for the job. By simply asking questions about your lighting installer's personal and company background, you can be sure you are making the right choice. Professional Lighting Contracts' Key Pieces 📝

When drawing up a contract, it is important that every part of the job is accounted for. The key pieces you should see in a professional lighting proposal or contract are:

  • A bill of materials that lists almost every bit and piece
    • If there are a couple of small details that get left out, they should be accounted for as hardware (this often happens because final details haven't been chosen yet)
  • Labor Costs
  • Transportation Costs
  • Matrix saying who is responsible for what and when
  • Extra miscellaneous fee (so that the owner isn't responsible for anything the installer forgot to include)

Design and Venue Consistency 🔨

A theatrical lighting design should match a venue's day-to-day needs, not just a show spec. At PORT, our installers aren't typically working on what the show spec is, but rather what the building needs, and the infrastructure or backbone for the system. In general, the designs are based on daily use, but individual shows add to what is installed. How we proceed at PORT is we interview the client about what kind of events they have during the year. Then, we design a system to fit those needs. We also see if the venue's producing ability has reduced or expanded over the years. If it's growing, then a larger budget may be necessary.

Lighting Install Red Flags ❌

There are red flags to both sides of the lighting install. It's important as a client to be wary of contractors, and on the reverse, clients should make sure they are not asking anything of the contractor that would compromise the quality of the job. Two examples of this would include:

  • When an electrical contractor has never done any theatrical work → this tends to mean more hand-holding and answering questions for the lighting installers
  • When a client is asking to turn something around very quickly → lighting installers may not always be able to provide equipment on site as swiftly as the client wants
